Privacy policy

Last updated: 20 October 2026

This notice explains how we handle personal information collected through the Potters House Derby website and its enquiry forms.

Who is responsible for your information?

POTTERS HOUSE CHRISTIAN FELLOWSHIP UK DERBY CHURCH, known on this website as Potters House Derby, is responsible for deciding how your information is used.

You can contact us at info@pottershousederby.co.uk, by calling 07949 244226, or by writing to 2–3 St Peter’s Churchyard, Derby, DE1 1NN.

What we collect and why

When you use Contact or Plan a visit, we collect your first and last name, email address and the message you provide. The visit form also lets you choose a preferred service. We use this information to answer your enquiry, help you plan a visit and provide the follow-up you request. You do not have to complete a form to attend church.

Our website and hosting services also process technical information needed to deliver and protect the site, which may include IP addresses, browser details, requested pages and security logs. The form’s abuse protection temporarily retains a keyed IP hash and request count for up to ten minutes.

Our reasons for using your information

For ordinary enquiries and website security, we rely on our legitimate interests in responding to people who contact us and operating a safe, reliable church website. We consider those interests alongside your rights. We may also need to use or retain information to meet a legal obligation.

You can object to processing based on legitimate interests. Contact us using the details above so we can consider your request.

These general enquiry forms are not intended for confidential pastoral, health, safeguarding or other sensitive details. Please contact the church directly to discuss how to share such information appropriately. Where sensitive information is needed, we must identify the relevant additional legal condition and explain the arrangements before collecting it; we will seek explicit consent where that is the appropriate condition.

Who receives your information

Form messages are emailed to info@pottershousederby.co.uk. The website form does not save a separate copy of the enquiry in the WordPress database. Enquiries may be handled by the church team responsible for responding, and by hosting and email providers that support delivery and storage. Fasthosts hosts this website.

We do not use these forms to subscribe you to a mailing list. We do not sell information supplied through them. We may disclose information where required by law or where a lawful disclosure is needed to protect someone from harm.

How long we keep enquiries

Routine website enquiries are retained for six years after the last meaningful contact and then deleted, or sooner when they are no longer needed. This period applies to routine enquiry correspondence, not separate safeguarding, legal, donation or other records that may need a different retention period. Where we need to keep information longer, we will record the reason and review it.

Maps, videos, giving and cookies

Some pages contain Google Maps or YouTube content. When that content loads, Google may receive information such as your IP address and browser details and may use cookies or similar technologies. Loading may occur when you view or scroll to an embedded item. See Google’s privacy policy for its practices.

The Online Giving button takes you to Square’s website. Card details are entered on Square’s checkout, not into this website’s enquiry forms. Square explains its handling of payment information and cookies in the notices provided at checkout. Church donation records are separate from routine website enquiries.

WordPress uses cookies for signed-in administrators. You do not need an account to browse the public church website or attend a service. You can manage cookies in your browser, although blocking them may affect external maps, videos or checkout features.

International services

Google, Square and other service providers may operate internationally. Their privacy notices explain their processing locations and safeguards. Contact us for information about the arrangements relevant to an enquiry you have sent us.

Your rights and complaints

Depending on the circumstances, you can ask to access or correct your information, request deletion or restriction, object to use based on legitimate interests, and request a portable copy where that right applies. If we rely on your consent, you can withdraw it without affecting earlier lawful processing. Some rights have legal limits.

For a request or complaint, email info@pottershousederby.co.uk. We may need to check your identity before sharing information. We do not make decisions about you using automated decision-making or profiling through these enquiry forms.

You can also raise a concern with the Information Commissioner’s Office (ICO).

We will update this page when our website practices change. The date above shows when this version was last updated.
